Lab Use Policies and Procedures



Individual:



An individual who is a student, staff, or faculty can get access to the labs that the GISC runs by paying a $40 access fee per semester. You will be issued a login code, a password, and a door code. These codes are personal codes and must be kept private – not given to anyone under any circumstances. Also, do not allow access to the lab to anyone while you are occupying the lab. If someone has the authority to be in the lab, they will have their own access code. (If someone knocks on the door wanting access to the lab, do not let them in). If you are asked to log into a computer for another person, do not do so! Ask them to talk to the GISC about a login. Be aware that each code is recorded as the user enters.

When you are issued a login and password, the machine will prompt you to change the password the first time you use it. Once changed, the old password will no longer be valid. The login codes and passwords may be used on any machine in the lab (except for the server). Please do not store any documents and data on these machines. All lab users will have access to your documents if you leave them on the machine, and we at the GISC will not be responsible for the safety of your documents. Data will be erased by GISC as disk space is needed.

Also, please be aware that sometimes classes are held in these labs, and that during those times, you will not have access to the lab. Occasionally these classes last up to two weeks, but generally the GISC will inform you of such long-term classes ahead of time.

The GISC is not responsible for keeping paper in the printer. If you wish to print documents, you must provide your own paper.

Food and drink are not allowed in the labs under any circumstances. Please be responsible for your workspace. Do not leave trash or other unwanted items around the lab.

Close and make sure the door is locked when you leave! Do not prop it open! Log out of the machine when you leave. Only lock a machine if you are leaving the room for a short amount of time. Leave a note to avoid being logged out and possibly losing data.

The GISC reserves the right to cancel lab access without reimbursement for anyone who fails to abide by these rules.

Classes:


Instructors of classes will be issued a door code to be used by the students for the duration of the class. Please do not write the code on the board, as it gets left up, and anyone can look in and see it, and thereby have access to the room. Needless to say, the same goes for logins and passwords.

You will also be issued a set of login codes with a password. You will be responsible for distributing these login codes to your students, who should then set their own passwords. Please instruct your students not to give the login codes or the door code to anyone. Also please instruct them not to allow unauthorized users into the lab and not to store their documents and data on the machines in the lab. Please see policies above for individual users.

Also, advise your students that they will not have access to the lab when there are scheduled classes in the lab. They will be responsible for keeping abreast of assignments and knowing when the lab is available. This should eliminate rushing to do an assignment at the last minute only to find that there is a six-hour class scheduled in the lab. Class dates will be posted on the door of the lab and should also be available on the GISC website where information about the labs is stored. Please remember that this is a shared lab, so cooperation in all these matters is essential.
